One aspect of information technology is the incredible amount of "stuff" flowing into our email Inbox(es), some of it important, some "of interest" and then a bunch of what can be termed "JUNK". Managing this flow can be challenging and fraught with pitfalls or gotchas.

In the last couple of days I've been contacted by clients having issues with email and both involved how to handle "JUNK" while attempting to maintain focus on business or to successfully stay in touch while away from the "office". In one case, the customer was feeling that his email was actually distracting him from his business due to the amount of stuff that led him to lose focus. He expressed an inclination to hire someone to print out the "important" emails, discard the rest and thereby help him stay properly focused. I suspect that he is being overwhelmed by stuff that was chiefly "of interest", with a fair amount of "Junk" mixed in, and the few important emails were being lost, somewhat, in all the deluge. Additionally, this led him to wonder about the productivity of his employees and how internet availability might be efficiency drain on his business. In lean times we're all looking for ways to increase efficiencies, decrease costs and do more with less. His concerns are understandable. I responded with some potential solutions, which included our exceptionally effective Email Protection service, Reflexion Total Control (for more information visit our web site). An effective anti-SPAM, anti-Phishing, email protection is of increasing importance in organizations of all sizes, Businesses stand to regain lost productivity, free up IT resources and protect their network infrastructure through the use of these types of programs/SaaS/Hardware. The cost of this is often a fraction of the value of what has been regained and thereby truly pays for itself many times over.

Another customer inadvertently may have lost some valuable emails because she wasn't checking her "Junk" mail contents before deleting what was there. Traveling out of town recently, she happened to discover a few emails in her Junk folder that should not have been there as they were legitimate/important emails. I gave her some guidance on how to manage her email more effectively. For instance (in MS Outlook), by opening the Junk folder, right clicking an email (or group of emails) and choosing Junk E-mail, where you will find several options to manage how the sender's future emails are handled and what to do with that message. Another concern was forwarding email, from one account to another in order to receive emails while "on the road". Both these issues are not complex and are explained in some detail within the help guides of most email clients.

The volume of information flow will certainly not abate and thus is more a matter of effective management through the use of tools, configuration and/or supplemental programs or services, than anything else. My advice? Take some time to learn what tools/programs/services are available and apply them to this challenge. The return on investment is almost certain to be many times the "cost"!
